Terms of Service

1. Agreement
These Terms of Service ("Terms") govern your access to and use of Tailboard (the "Service"), operated by Uplink Research LLC ("Tailboard", "we", "us"). By creating an account or using the Service, you agree to these Terms on behalf of yourself and the fire/EMS department or organization you represent ("Customer"). If you do not agree, do not use the Service.
2. The Service
Tailboard is an operational tool for fire and EMS departments — apparatus checks, maintenance tracking, roster and certification management, scheduling, and incident response tracking. It is not a medical record system, a dispatch system of record, or a substitute for any legally required reporting system.
3. No patient or protected health information (PHI)
Tailboard is not a HIPAA-covered system and must not be used to store Protected Health Information. You agree not to enter, upload, transcribe, or otherwise submit any patient names, patient-identifying details, clinical/medical information, or any other Protected Health Information ("PHI") as defined under HIPAA into any field, note, photo, video, or audio recording in the Service.
Incident records, narratives, voice notes, and free-text fields are for operational, apparatus, and personnel information only. You are solely responsible for ensuring data you submit does not contain PHI. We may remove content that appears to violate this section.
4. Accounts and security
You are responsible for safeguarding account credentials and for all activity under your account. Notify us promptly of any unauthorized use. Department administrators are responsible for the members they invite and the access they grant.
5. Acceptable use
You agree not to misuse the Service: no unlawful use, no attempts to breach security or access other tenants' data, no interference with the Service's operation, and no use that violates the rights of others.
6. Customer data and ownership
As between the parties, the Customer owns the operational data it submits ("Customer Data"). You grant us the limited rights needed to host and operate the Service. You may export your Customer Data; see our Privacy Policy for retention and deletion details.
7. Subscriptions and billing
Paid plans are billed per station as described at sign-up or in your order. Fees are non-refundable except where required by law. We may change pricing with reasonable notice.
8. Availability and AI features
We work to keep the Service available but do not guarantee uninterrupted operation. Some features use automated/AI analysis to assist human review; these are aids, not authoritative determinations, and a qualified person remains responsible for any operational decision.
9. Disclaimers and limitation of liability
The Service is provided "as is" without warranties of any kind to the fullest extent permitted by law. To the maximum extent permitted by law, Uplink Research LLC will not be liable for indirect, incidental, special, or consequential damages, and our total liability for any claim is limited to the amounts you paid for the Service in the twelve months before the claim.
10. Termination and data deletion
You may stop using the Service at any time. On cancellation or termination, Customer Data is available for export for a limited period and is then permanently deleted, as described in the Privacy Policy. We may suspend or terminate access for breach of these Terms.
11. Changes to these Terms
We may update these Terms; material changes will be communicated through the Service or by email. Continued use after changes take effect constitutes acceptance.
