Privacy Policy

Tailboard is operated by Uplink Research LLC ("we", "us"). This policy explains what we collect, how we use it, and your rights. It applies to the Tailboard web and mobile apps and related services.

We collect:

• Account information — name, email, role, and department/organization details.
• Operational data you submit — apparatus checks, maintenance records, rosters, certifications, schedules, incident operational details, and associated photos/video/audio.
• Device and usage data — app version, device identifiers needed for push notifications, and basic usage/diagnostic information.

Tailboard is an operational tool, not a medical record system. We do not intend to collect Protected Health Information (PHI), and our Terms prohibit submitting patient or clinical information. Do not enter patient names or medical details into any field.

To provide and operate the Service, authenticate users, send transactional and operational notifications (e.g. dispatch alerts, invitations), provide AI-assisted analysis features, maintain security, and comply with legal obligations. We do not sell your data.

We use a small set of providers to run the Service — including hosting/infrastructure, transactional email delivery, and push notification delivery. They process data only to provide their service to us. A current list is available on request.

We retain Customer Data for as long as your account is active. On cancellation or termination, Customer Data remains available for export for a limited window (approximately 90 days) and is then permanently deleted from our systems, including associated media in object storage. You can also request earlier deletion.

Depending on your jurisdiction (including GDPR and CCPA), you may have the right to access, export, correct, or delete personal data. Department administrators can manage member data in-app; for export or deletion requests that span an entire account, contact us and we will fulfil verified requests within a reasonable period.

Data is encrypted in transit. Access is scoped per department (tenant isolation), media access is authenticated, and accounts are protected by sign-in throttling and configurable password policy. No system is perfectly secure, but we work to protect your data and will notify affected customers of incidents as required by law.

We use only the storage needed to keep you signed in and to enable offline use of the app. We do not use third-party advertising cookies.

The Service is intended for use by fire/EMS personnel and is not directed to children under 16.
